Why Every Office Needs a Hybrid Meeting Room

In 2025, the hybrid office isn’t a trend — it’s the norm. As remote and in-person teams work together daily, hybrid meeting rooms have become essential. These spaces are carefully designed to balance sound, visuals, and connectivity to make communication seamless.

What is a Meeting Room
A hybrid meeting room is a physical conference space designed to support both in-person and remote participants equally.
This involves more than a laptop on a desk. A well-designed hybrid room includes high-quality microphones, clear video cameras, easy content sharing, and control systems that manage lighting, audio, and connectivity. The result is a meeting space that feels natural for everyone, whether they’re across the table or across the country.

Hybrid Meeting Room Setups We See Most Often

At Teer Audio Visual, we’ve designed and installed all major types of hybrid rooms, including:

  • Zoom Rooms – Pre-configured spaces that integrate Zoom’s platform with high-end AV gear

  • Microsoft Teams Rooms – Designed for full Teams integration with certified devices

  • BYOD (Bring Your Own Device) Rooms – Flexible setups where users connect their own laptops to room gear

What AV Equipment Does a Hybrid Room Need?

We regularly use proven brands like:

  • Crestron

  • Q-SYS

  • Shure & Sennheiser

  • BARCO ClickShare

  • Vaddio

  • AVer

Choosing the right mix of hardware ensures low latency, consistent mic pickup, and clean audio/video sync.

Project Spotlight: Hospital Incident Command Center

A great example of hybrid room design in action is our recent install at Orlando Health Lake Mary Hospital. The facility needed a dedicated Hospital Incident Command Center (HICC) a.k.a a space used to manage communication and logistics during emergencies.

We integrated a combination of Tesira (Biamp) audio processing, Shure microphones, Vaddio cameras, and Crestron touch panels. The result was a room where hospital leaders could confidently coordinate operations, connect with off-site specialists, and make decisions in real time.

Why Hybrid Rooms Are Now a Business Essential

In a well-designed space, meetings start on time, audio is crisp, video is smooth, and there’s no scrambling with cables or settings. This shows you're serious about communication, and that’s a competitive edge. What to consider when designing a Hybrid Room:

  • Room size and layout – Acoustics and mic placement matter

  • Platform compatibility – Zoom, Teams, or open-ended BYOD?

  • Future scalability – Can you add cameras, displays, or additional mics later?

  • IT integration – Ensure smooth network and system access

Hybrid meetings don’t have to feel like a compromise with the right AV technology. At Teer Audio Visual, we specialize in designing and installing hybrid conference room solutions across Orlando and Central Florida. From healthcare to training rooms, our team knows how to deliver AV that works.
